**Please note that the applicable registration fee rate is determined by the stage at which payment is made, rather than the stage at which the registration form is submitted.

Delegations can submit payment to UPMUNC by check payment or credit card (via TicketLeap).

Payment Deadlines & Late Payments

All fees must be received by 11:59 ET on the day of a registration deadline. If your delegation is paying by check, the check must be dated by the day of the registration deadline.

While registration is open, late payments will rollover to the rates of the next registration round.

Payments made after November 7, 2025 will incur a $50 late fee unless a waiver has been granted by the SecretaryGeneral or Director-General.

Refund Policies

School Fees & Advisor Fees: School fees & Advisor fees are non-refundable. After submitting your registration form, your delegation is obligated to pay the school fee and advisor fee (if applicable) regardless of whether or not your delegation attends UPMUNC 58.

Delegate Fees: Delegations are entitled to a variable refund in delegate fees depending on the date that a refund request is submitted.

Any requests made after October 10, 2025 are not entitled to a refund for their assessed Delegate Fees.

Requesting a Refund: In the event that your delegation can no longer attend UPMUNC, please email our Secretary-General and Chief Financial Officers to inform us of your withdrawal and to request a refund. Your delegation will be entitled to a refund for delegate fees according to our policies. Requests for exceptions will be evaluated in extreme circumstances on a case-by-case basis.

Prior to October 10, 2025: 50% refund

Delegation Size Changes

Adding to your delegation: Your delegation may add delegates until November 7, 2025 at the delegate fee rate of the active registration round at the time that payment is submitted for these additional delegates.

Withdrawing members of your delegation: Your delegation may withdraw delegates with a partial refund for the associated delegate fees until October 10th, 2025. Any delegation size decrease requests made after this date will not be entitled to a fee refund. Refunds will be assessed according to the deadlines listed above.

Prior to October 10, 2025: 50% refund

Any requests to decrease delegation size made after October 10, 2025 are not entitled to a refund for their associated Delegate Fees.

Offsite Accommodation

UPMUNC 58 will be hosted at the Sheraton Philadelphia Downtown. Discounted group rates will be offered exclusively through our room block at this venue. More information on Hotel accommodations, pricing, and deadlines can be found here.

Delegations choosing alternative accommodations will be subject to a $60 offsite accommodation fee. This fee is non-refundable and all reservations will be verified during conference check-in.

Delegations located within 30 miles of Philadelphia are exempt from this fee if they opt to stay on their home campus. The fee will also be waived if the Sheraton reaches maximum occupancy.

Exceptions to this policy will be made on a case-by-case basis in extreme situations. Please reach out to our Secretary-General and your request will be considered.

Visa Invitation Letters

Visa invitation letters are recommended for international delegations that have already confirmed their registration to UPMUNC 58 and need to apply for a visa to enter the United States. Once your registration has been confirmed, your delegation may request access to a Google Form to submit a request for a visa invitation letter.

All requests must be submitted prior to August 1, 2025, but delegations are strongly recommended to begin the visa application process as soon as possible. UPMUNC is not responsible for delays in your application resulting from late submission of the request form or the submission of incorrect information.

Please note that a delegation/delegate is considered eligible to request a visa letter if:

  1. Their delegation has submitted the registration form.

  2. All fees have been paid to UPMUNC. This includes school deposit, delegate fee, advisor fee, and any additional fees owed to UPMUNC 58.

  3. Your delegation has book hotel accommodation through the Sheraton or has booked lodging at an offsite location and has paid the asociated fee.

  4. Your delegation has submitted a finalized list of delegate names who will be attending UPMUNC 58. It is your responsibility to notify UPMUNC of any changes to this list as soon as possible. UPMUNC is not responsible for visa delays associated with late additions to your delegation and withdrawn delegates are not eligible for a visa invitation letter.

  5. You are a current university student pursuing an Associate’s or Bachelor’s degree.

College Affiliation

Please note that UPMUNC is a conference for college students and that we are not accepting high school delegates. You must be affiliated with an accredited college or university to attend our conference.

Individual registrants are permitted if they are enrolled at a college or university and are not subject to the school fee.
